Before you start

What to have to hand

Four things. If you have them open when the call starts, the call is twenty minutes.

Your clinic addresses

One line each: street, suburb, postcode. Bring them even if you have one site.

An email address for each person you are inviting

Five roles: owner, admin, intake coordinator, clinician, read-only. Twenty permissions sit behind them, and document:verify is its own permission — the person who uploads a document is not automatically the person allowed to pass it. You can change someone's role later without re-inviting them.

The questions your enquiry form should ask

Start from ours and cut. Presenting concern, age, who pays, preferred location, preferred days. The shortest form that still tells you whether you can help is the right one.

We configure the document rules for those before your first referral, from the list you bring to the call.

The honest answer

What happens to the referrals you already have

Nothing. They stay exactly where they are. There is no importer and we are not going to imply there is one. Katina starts with the referrals that arrive after your form goes live. The open ones finish where you are already finishing them.

So run both. Your inbox keeps receiving, the form keeps feeding the worklist, and both lists are true at once for a fortnight. On day fourteen you look at your own two lists and decide. Nobody works a weekend, and no single moment has to go right.

Setup call

You add three clinic addresses and invite five people by role. Five one-time invite links are minted, each good for one use. Everyone sets up two-factor authentication on their first sign-in.

The form goes on your site

You cut the enquiry form down to nine questions, add your website's address to the allowlist, and paste two lines into your contact page. The form renders on your site and nowhere else.

R-1042 is created, the scheme is identified as GPMHTP, and the checklist opens: GP referral, mental health treatment plan. You read it on your phone while the kettle boils.

Two lists, both true. You compare them and choose the day you stop looking in two places. We will ask you about your old inbox on day fourteen, not before.

A getting-started page that lists only what works is one you find out was wrong in week two. These are current as at 11 October 2026.

No mail provider is connected. No new-referral notification, no templates, and no invitation posted on your behalf — you copy the invite link and send it yourself. The worklist is the notification. If email is the reason you are buying, buy later.

Your locations are recorded on every referral, but nothing filters by them yet, so a three-site practice sees one list with the site shown on each row. We will tell you when it has shipped, not while it is being written.

Questions people ask before they start

Do we have to stop using what we use now?

No, and for the first fortnight we would rather you did not. Two lists that agree is the evidence you are after; one list you were forced onto is not.

How long does it really take?

Twenty minutes for locations and invites. The form takes longer if you want to rewrite the questions — budget an hour with whoever answers enquiries today, because they know which question you actually need and which one you have been asking out of habit.

Can we put the form on our Squarespace site?

Yes. One element and one script tag, on your own page, in your colours. You add your site's address to the allowlist first; anywhere else the form declines to render, which is also how it refuses to be embedded in somebody else's page.

What if Katina picks the wrong funding scheme?

You change it, and the document checklist changes with it. The scheme is worked out from the patient's own answers, and a person can always overrule it.
